Access & Governance FAQs
This page covers common questions related to CloudRaya Platform & Account features, including account identity, access governance, security controls, activity auditing, and compliance visibility across all CloudRaya services.
It is designed to help administrators, operators, and account owners understand how CloudRaya manages who can access the platform, what actions can be performed, and how those actions are tracked and secured at the account level.
Account & Profile Management
Q: What information is stored in my CloudRaya profile?
A:
Your profile stores identity and account-level information such as your display name, email address, account type, account status, company details, contact information, billing address, and timezone. This information is used for authentication, billing, notifications, and audit records.
Q: Where is my profile information used across the platform?
A:
Profile data is reflected in invoices, billing records, activity logs, and account identification. Keeping this information accurate ensures correct billing and audit documentation.
Q: How do I change my account password?
A:
You can change your password from the View Profile page. Password changes take effect immediately and may invalidate active sessions for security reasons.
Q: Why can’t I change my email address?
A:
CloudRaya enforces domain-based restrictions when updating email addresses to maintain account integrity and organizational security.
- You can only change your email if the new address uses the same organization or domain as your current email.
- Changing from or to a personal (non-organization) email is not allowed directly.
If you need to update your email outside of this policy:
- Contact CloudRaya Support
- Provide valid supporting documents (e.g., CV, company registration, or identity verification)
All requests are subject to verification and approval.

Team & Access Governance
Q: How does CloudRaya manage teams and user access?
A:
CloudRaya uses a project-based access model. Users are invited to specific projects, where they become project members and are granted roles that define what actions they can perform, including creating and managing resources within that project.
Q: Can I separate production and staging environments for access control?
A:
Yes. You can create separate projects (for example, Production and Staging) and invite different users or assign different roles to each project. This helps isolate access, ownership, and billing visibility.
Activity & Audit
Q: What is the User Action Log?
A:
The User Action Log is a platform-wide audit trail that records both user-initiated and system-triggered actions across all CloudRaya services.
Q: What types of actions are recorded in the User Action Log?
A:
Logged actions include, but are not limited to:
- Creating or deleting Virtual Machines
- Creating snapshots or OS templates
- Modifying Container Registry settings
- Upgrading storage quotas
- Generating or paying invoices
- Changing passwords and security settings
Both successful and failed actions are recorded.
Q: How do I filter and search activity logs?
A:
You can filter logs by date range, affected object (VM, Storage, Image Repository, etc.), and status (Pending, Processing, Success, Failed) to quickly locate specific events.
Q: Can I delete or modify log entries?
A:
No. User Action Log entries are immutable. They cannot be edited or deleted and are part of CloudRaya’s security and compliance mechanism.
Security & Session Controls
Q: Can CloudRaya Support access my account?
A:
Only if you explicitly enable Admin-Assisted Account Access in your profile settings. When enabled, CloudRaya administrators can help with troubleshooting or account recovery. All admin actions are limited, audited, and recorded in the User Action Log.
Q: What happens when I disable admin access?
A:
When disabled, no CloudRaya administrator can access or manage your account, even for support purposes.
Q: Can I link my CloudRaya account to external login providers?
A:
Yes. You can link your account to Google or Microsoft accounts for faster login and improved account recovery. Linking does not affect existing resources or billing.
Billing Identity & Compliance
Q: Why is my billing address required?
A:
Billing address information is used for invoice generation, tax records, and financial compliance documentation. Keeping it accurate ensures correct billing and legal records.
Q: Why does CloudRaya ask for identity documents (KTP/NPWP/Passport)?
A:
CloudRaya uses identity information to support account verification, compliance, and service eligibility. Verified accounts may be eligible for higher resource limits, access to additional services, and faster support handling. All submitted information is handled in accordance with CloudRaya’s security and privacy policies.
Q: Does changing my profile affect my existing resources?
A:
No. Updating profile or billing information does not impact running resources or services. It only affects account identification, billing, and audit records.
Best Practices
Q: What are best practices for securing my CloudRaya account?
A:
- Use a strong, unique password
- Link an external account for recovery
- Enable admin access only when you need support
- Review the User Action Log after major changes
- Keep profile and billing information up to date
